Our promise

Your association's documents and information are used only to provide Second Signer to your board. We never sell them, and we don't share them with Google, Meta or other advertisers, your management company, other associations, data brokers or anyone else. We don't send your documents to AI services.

What we collect

When you sign up, we collect what you enter in our form: your name and email address; your state, your role, your association's number of units and which service you're interested in; your association's name and its management company, if you tell us; and anything else you choose to write. We also note which of our pages you signed up from. Our form provider automatically records your IP address, browser type and the page you came from, which help filter out spam.

If you use the service, we also receive the financial documents you send us for your association, such as monthly financial reports and bank statements.

Like most websites, we may use cookies and analytics or advertising tools from companies such as Google and Meta to see how visitors find and use this site. These tools see visits to our web pages. They don't receive your documents or what you type into our signup form.

How we use it

• To reply to your sign-up and provide the service you ask for.
• To prepare your association's reports from the documents you send, and to send those reports to your board.
• To improve our website and service.

What we don't do

• We don't sell your personal information or your association's documents.
• We don't use your documents for anything except preparing your association's reports and running the service.
• We don't send your documents to AI services or other outside companies to be read or analyzed. Our own software does that.
• We don't share information about your association with your management company unless your board asks us to.
• We don't contact homeowners.

Homeowner and account information

Association records can include homeowners' names and balances, for example in delinquency reports. Our reports use only totals and counts from those reports, never individual homeowners' names or balances. If you'd rather not send names at all, you're welcome to black them out first. You can do the same with bank account numbers; we only need the last four digits of each account.

How we protect your documents

• Each association has its own private account. Only the board members you invite can sign in and see your documents and reports.
• Documents are encrypted while they're sent to us and while they're stored.
• Only the people who prepare your reports can open them, and the accounts that hold them use two-step sign-in.

Who can see your information

Access is limited to the people and service providers needed to run Second Signer, such as the companies that host our website, handle our email and store uploaded files. They may use it only to provide their services to us. We may also disclose information if the law requires it.

How long we keep it

We keep your association's documents and reports while you're a customer, so each month can be compared with the months before it. If you cancel, we delete the documents you sent us within 90 days. You can ask us to delete your information and documents sooner at any time.

Children

Second Signer is for association boards and isn't meant for children. We don't knowingly collect information from anyone under 13.
